Job Description

My client are a law firm based in Leicester. They are seeking a Legal Administrator to join their Clinical Negligence team on a full-time, permanent basis. 
 
Providing comprehensive administrative support to the Solicitors to allow them to effectively complete their Fee Earning duties, your core tasks will include;
 
Core Duties -
  • Answering the telephone and directing calls or taking and dealing with messages, receiving, and directing visitors to the firm. Providing refreshments to visitors as required.
  • Ensuring the meeting room, reception and visitor areas are kept professionally presentable at all times. Ensuring that the meeting room is prepared for meetings.
  • Diary management, filing, finance matters on files such as payment requests, receipt advices, bank transfer requests, etc.
  • Dealing with post to include opening incoming post and following incoming post processes, franking post and taking this to the post office.
  • Photocopying, scanning, archiving, preparing enclosures, paginating documents, indexing, preparing and booking parcels for the courier.
  • Preparing routine correspondence, to counsel, experts, hospitals, defendants, clients, third parties for example requests for information and responses to requests for record, chasers and whatever the solicitor needs assistance within this regard.
  • Making notes in meetings; transcribing meeting notes (this maybe from dictation or from TEAMS)
  • Dealing with medical records to include sorting, paginating, and indexing.
  • Preparing bundles of documents for counsel and experts and liaising with clerks to counsel and experts as necessary.
  • Dealing with new enquiries (subject to experience).
  • Arranging meetings with clients, witnesses and conferences with Counsel and obtaining dates to avoid for trial, liaising with the court as necessary. 
  • Attending client meetings/ conferences where appropriate and taking notes and thereafter dealing with such follow up work as necessary and deemed suitable for the role.
  • Supporting in the preparation of court documents if considered appropriate.
  • Preparing ATE insurance claims and files for costing. Assisting with preparation for audits, and with archiving concluded files.
Legal Administrator - The Candidate:
 
The successful candidate will have previous secretarial or administration skills and good working knowledge of basic Microsoft packages along with;
 
  • Confidence and ability to work on own initiative and under direction and assume the responsibilities of supporting more than one solicitor.
  • A flexible and professional attitude to work, be adaptable and able to work under pressure and able to time manage so as to support up to three and possibly four solicitors
  • The ability to follow the firm’s processes and procedures regarding all aspects of the role, and regarding cyber security and data protection
  • The ability to adopt a common-sense approach with attention to detail.
  • A professional, efficient and personable telephone manner 
  • A pragmatic approach to problem solving and the ability to work on your own initiative.
  • Reliability, commitment, discretion, confidentiality, and loyalty as core values.
  • Good organisational skills and be able to manage time effectively.
  • Good diary management skills and be able to ensure that deadlines, internal or external are met.
  • Attention to detail and accuracy in all aspects of your work.

  • Effective communication skills and an ability to establish and maintain harmonious and professional relationships with clients, stakeholders, and colleagues.
  • A flexible and professional attitude to work, be adaptable and able to work under pressure when necessary.

  • An openness to learning new systems and processes.
  • A willingness to do whatever is necessary irrespective of level of task to ensure the smooth running of the office.
